We are currently hiring for a Senior Business Operations Coordinator . The Coordinator will serves as primary support staff and communications/information expert to the Executive Vice President (EVP), Associate Executive Vice President (AEVP), and other Executives as assigned in our thirteen-state Midwest region. Will ensures region leadership teams and region board/committee meetings are executed in a manner that exemplifies operational excellence and engagement with staff and volunteers throughout the region.
The preferred location of this position is our Chicago office. We will consider the opportunity for the Senior Business Operations Coordinator to be based remotely within the region. Competitive salary is offered.

Manage the scheduling of Midwest region board and committee meetings in collaboration with corresponding EVP/AEVP. This includes managing all details related to the planning, content, logistics and execution. Ensures requirements are met in terms of processes, timelines and record retention.
Administer the national and region board and committee nomination and award process.
Collaborate with leaders to maintain a robust volunteer leadership pipeline featuring qualified, diverse candidates for the region and national committees and boards and administer the corresponding cultivation, succession planning, slate management, submission and follow-up.
Help to implement a year-round region board member engagement plan and track board member activities and progress against the strategic focus areas identified by the region board and EVP. Ensure region and local board connectivity.
Proactively manage Executives' calendar ensuring alignment with the Executive’s priorities. Ensures calendar conflicts are resolved in a timely manner.
Proactively work to ensure Executives are equipped with the necessary information to achieve organizational excellence – this includes developing concise reports, transforming numbers into a story, collaborating with internal and external persons, staying abreast of late-breaking AHA news by being a student of the organization, and understanding the Executive priorities.
Manages travel arrangements for Executives and leadership volunteers.
Manages expenses related to Executive administration.
Develops top-shelf communications support and content for the EVP and region board members to utilize internally and externally. This includes impactful scripting, dynamic infographics, compelling presentations, and providing content to Internal Communications lead for volunteer leadership newsletters.
Ensures the Executive is prepared with all relevant background information, relevant talking points and collateral for regional and national meetings. May work with support staff of other executives, in other departments or organizations, to ensure AHA Executives are well-equipped.
Hold primary responsibility for preparation of employee and volunteer recognition scripts including compilation of information for EVP Updates/Newsletter, managing recognition events and mailings (i.e. births, anniversaries, sympathy, appreciation)
5+ years of related experience providing direct administrative support and handling project management.
Experience working with and supporting C-Suite or equivalent executives or volunteer leadership preferred.
Experience and skill in using a database management system, preferably a CRM specific program.
Demonstrated ability in being resourceful to source/research information and cross-functional connections.
Experience managing a budget including processing invoices, income and expenses. Includes proficiency with accounting procedures and automated financial systems.
Experience with broad business operations policies and procedures.
Experience managing external vendors in a wide range of services.
Must have at least intermediate knowledge and skill with Microsoft Office used for word processing, email, presentations, and spreadsheets. Advanced knowledge and skill with these programs is preferred. These skills are subject to testing.
Ability to lift and/or move up to 20lbs.
