Due to the current pandemic, daily travel is minimal and voluntary to ensure the health and safety of staff. There is no overnight travel currently. In the future, this position may resume daily and/or overnight travel. All AHA offices are closed and staff are currently working from home. Offices will be reopening in October 2021; this position will resume to being based in the local office.
The American Heart Association has an excellent opportunity for a Project Coordinator -Social Campaigns located in Dallas, TX .
In this role, you will be responsible for providing project coordination, creative support and administrative support for the Heart Ball, Heart Challenge, and Go Red for Women National Campaigns. Responsible for preparing and distributing communications and support around campaign materials, training support for national events and strategy sessions, and other organizing efforts based on project assignments. Also, responsible for operational budget and expense processing, record keeping or other administrative duties.
Essential Job Duties
Assists with marketing efforts which may include updating on-line content, distribution of marketing materials, or vendors/contractors/volunteer communication. Marketing efforts support includes being responsible for our national communications and helping to ensure high quality creative for campaign materials such as presentations, supporting and training materials. This will include helping to write content and being highly detail oriented to ensure all the style, language, numbers and links are correct.
Coordinate and monitor project timelines while effectively communicating project needs and related information in the organization as required. Includes proactively managing the content and people contributing content.
Communicate with national socials team members to organize and manage assigned projects/events. Recruit staff and/or volunteers for participation, coordinate with vendors, or perform set-up and logistics coordination.
Utilize vendor and/or AHA systems (e.g. E1, COI, Seibel, Oasis, Sharepoint, Powerpoint, Canva, Tableau etc.) efficiently and competently to complete duties/projects. It also includes managing the SharePoint site, always understanding how it can be better and intuitive for the field. Helping to pull together content for national events and trainings.
Evaluate and maintain information and accurate data for compliance requirements or internal reporting needs. Collaborates with internal and external customers to ensure documentation is accurate and meets expectations. To accomplish this, must be educated in our reporting structure and tools, and have the ability to get campaign information readily.
Aid in facilitation of supplies and materials for organization meetings and events. Must become well educated on the Heart Ball and Socials campaigns, and tools used in presentation trainings and strategies. This includes creating the shell of decks for the team in regards for trainings and finessing those decks so they look aesthetically attractive and consistent.
Provides coworkers, volunteers, and vendors with excellent customer service responding to requests in a timely manner and adhering to deadlines as appropriate. Consistently has a proactive and empathetic approach to help solve problems and meet needs before or as they arise.
Coordinate the production of internal virtual meetings and training sessions from in-house production studio; Act as liaison between production team and business lead to coordinate all technical logistics; Coordinate with business lead to secure all presentation content and speakers in a timely manner, schedule rehearsals and develop production timeline; Run production meetings and technical rehearsals as well as coordinate all communication.
Assists with calendaring, expenses, and travel for the national. Socials team. Helps the Exec. Lead with managing team activities.
Help with the logistics and communications around managing the Go Red for Women National Leadership Council.

High School Diploma or equivalent
Two (2) years of experience in project management and coordination
Demonstrated ability to prepare written content, presentations, and executive communications
Demonstrated customer service skills
Experience managing high profile meetings, large events or virtual meetings required
Must be comfortable with technology and have ability learn quickly
Must be very detail-oriented and highly-organized
Must be a self-starter, problem-solver, and enjoy a fast-paced, high-energy environment
