American Heart Association Senior Business Operations Coordinator in Greensboro, North Carolina

Responsibilities

The American Heart Association has an opportunity for a Sr. Business Operations Coordinator within the Executive Vice President Operations department.

In this position, you will be responsible for providing top-level administrative and special project support for multiple American Heart Association Southeast executives as part of the Executive Operations team. This team provides operational support for the Executive Vice President (EVP), Associate Executive Vice President (AEVP) and multiple Senior Vice Presidents (SVPs.

This position is responsible for calendar management, travel coordination, expense management, weekly campaign reporting, and executive correspondence. In addition, responsible for logistics for internal meetings, regional board meetings, and other special events. This position reports to the Senior Director, EVP Operations and requires proactive, collaborative teamwork and initiative on projects and activities that support the successful, best-in-class executive operations of the Southeast.

Some of your responsibilities will include (but not limited to):

  • Provides executive-level administrative support to members of the Senior Management Team (SMT)

  • Manages calendar needs, travel, and prepares expense reports.

  • Prepares internal/external correspondence, such as weekly team newsletters, volunteer communications, and birthday/anniversary recognition.

  • Coordinates logistics for face-to-face and virtual meetings, which may include the Southeast Board of Directors, Senior Management Team meetings, and other special events, including all-staff meetings, town halls, team huddles, etc. Meeting logistics are of the highest quality in terms of logistical arrangements and service to board, other volunteers, and senior staff.

  • Executes technology production for virtual events (Zoom/Teams.

  • Maintains the integrity of contact records/rosters/distribution lists for SVP teams and various volunteer groups.

  • Supports administrative, data entry, and project functions for nominations to the regional board of directors and committees, national board of directors and committees, and annual national volunteer awards.

  • Prepares regular campaign reports for the SMT, and additional ad-hoc reports, as necessary.

  • Provide SMT budget support and reporting.

  • Partners with staff from across the region and with National Center in support of the goals and objectives of the organization and the SMT’s priorities.

  • Additional duties & special projects may be assigned.

  • Limited travel may be required.

In this role, you will report to the Sr. Director of EVP Operations.

Qualifications

  • 2-4 years of experience providing administrative support to multiple managers or executive level management.

  • Excels at organization of workflow, calendars, and time management.

  • Demonstrated ability to work in a team environment with minimal supervision.

  • Ability to prioritize and develop solutions for effective decision making.

  • Proficient with all Microsoft Office applications.

  • Experience with Zoom, Teams, Microsoft Dynamics, e.1, SharePoint, Tableau.
