Responsibilities

The American Heart Association has an excellent opportunity for an Administrative Associate in Houston, TX

This position performs complex administrative support and technical program assistance, including disseminating information, maintaining filing systems, and performing internal administrative support work. Responsibilities may include training others. This position will work under general supervision with moderate latitude for the use of initiative and independent judgment. The successful candidate will have a high level of analytical ability, multi-tasked manner of thinking, self-motivated and directed, and possess excellent administrative skills. They will have integrity, high motivation, proven ability to produce results in a highly deadline-oriented environment and creativity that will invigorate the AHA’s annual business plan.

As the Administrative Associate, you will be responsible to:

  • Assist development teams for the Houston Heart Ball and the Houston Go Red for Women Campaigns.

  • Manage Cor Vitae data mining and communication to Senior Vice President/Executive Director, and development staff.

  • Assist campaigns/development with event support, execution, and planning.

  • Maintain accurate information relevant to internal meetings, committee meetings and events. Will take notes and send follow-up lists with action items promptly.

  • Prepare, interpret, and disseminate information concerning organizational programs and procedures.

  • Prepare, edit, and distribute correspondence, reports, studies, forms, and documents.

  • Participate in the planning and execution of programs.

  • Develop, coordinate, and maintain record keeping and filing systems for their area of responsibility.

  • Respond to inquiries regarding rules, regulations, policies, and procedures.

  • Coordinate meetings, conferences, and seminars.

  • Type and design general correspondence, memos, charts, tables, graphs, spreadsheets, etc. Proofreads copy for spelling, grammar, and layout, making appropriate changes. Responsible for accuracy and clarity of final copy.

  • Skill in compiling and analyzing data, making calculations, and preparing reports.

  • May research, compose, design, or edit organizational publications such as brochures, forms, and manuals as requested.

  • Skill in using standard computer software programs, including Word, PowerPoint, and Excel, as evidenced by formal course work, training, or previous work experience

  • Skill in conducting basic research including gathering and assimilating information pertinent to assignments using the Internet and other resources.

  • Skill in communicating with others to effectively carry out essential job functions.

  • Skill in establishing and maintaining effective working relationships with all levels in the organization and volunteers and the public.

  • May train others. May oversee the work of others.

  • Performs related work as assigned.

Qualifications

  • Minimum of 2+ years’ experience in office practices and administrative, supporting multiple staff members.

  • Excellent and effective written and verbal communication skills.

  • Relationship building with all levels in the organization, as well as external stakeholders.

  • Effectively manage multiple priorities involving multiple customers.

  • Meeting management and event management including set up, Outlook invitations, copies, catering, logistics and meeting minutes.

  • Experience in travel planning and expense entry/management.

  • Handling confidential and sensitive information with tact and discretion.

  • Managing volunteers, volunteer stakeholder groups and distribution lists.

  • Knowledge of business letter writing format, style, and protocol.

  • Maintaining and organizing large amounts of data with precise attention to detail.

  • Applying quantitative/numeric/math skills to perform basic calculations such as averages, percentages, and ratios.

  • Conducting basic research, including gathering and assimilating information pertinent to assignments.

  • Proficiency in MS Word, Excel, Outlook & PowerPoint.
