American Heart Association Executive Assistant in Los Angeles, California

The American Heart Association (AHA) has an excellent opportunity for an Executive Assistant within our Western States Region. The location is flexible to the Los Angeles, California or Oakland, California areas. The selected candidate will be officed from one of those two locations with occassional travel to the covered offices.

Reporting to the Senior Vice President, the Executive Assistant is responsible for supporting the transformational growth of assigned divisions and the Western States region overall through identifying, developing, implementing, and evaluating opportunities to maximize volunteer and donor engagement and enrichment directly and in collaboration with field partners. The Director works in close collaboration with the management teams, field staff, Division Boards of Directors and Executive Leadership Teams of assigned divisions to develop, lead, manage and evaluate initiatives aligned with key strategies and goals.

Due to the current pandemic, all AHA offices are closed and staff are currently working from home. Offices will be reopening in October 2021; this position will resume to being based in the local office. Daily travel is currently minimal and voluntary to ensure the health and safety of staff. There is no overnight travel currently. In the future, this position may resume daily and/or overnight travel.

Responsibilities

Essential Job Duties:

  • Facilitates the recruitment and stewardship strategies with identified volunteer leaders, corporate partners, network groups and donors to ensure achievement of strategic goals with a focus on the 2024 Impact Goal to advance the cardiovascular health for all, including identifying and removing barriers to health care access and quality. Contributes to strategies to diversify executive volunteer leadership and support greater inclusion across efforts.

  • Plans and provides for mission engagement and donor cultivation opportunities. This includes external and internal audiences, advancing diversity, equity and inclusion through applying an equity lens first in our work.

  • Designs and implements special projects to advance mission engagement strategies and division initiatives. Facilitates cross-functional coordination and outreach to ensure effective alignment of division, region and association-wide communication and strategic execution.

  • Prepares the Senior Vice President, Executive Directors and internal partners for cultivation opportunities including preparing full background statements and desired outcomes, presentations and other communication.

  • Provides executive level administrative support for the Senior Vice President and Executive Directors including managing complex calendars, expense reports, travel plans, itineraries and meeting agendas and materials.

  • Ensures regular communication with identified stakeholders on progress towards goals and actions required.

  • Completes data management and reporting functions utilizing AHA CRM systems.

Qualifications

  • Minimum of five (5) years’ experience with:

  • Established track record in Stewardship, Donor Relations and/or Fundraising with C-suite executives and high-level donors with demonstrated accomplishment in fostering positive, productive, and sustained relationships

  • Excellent communication and interpersonal skills together with the ability to work collaboratively with all internal and external colleagues

  • Highly effective project management skills in a dynamic environment

  • Demonstrated ability to strategize, prioritize, implement and evaluate stewardship opportunities as part of a cohesive plan

  • Excellent writing, proofreading, planning and organization skills

  • Flexibility and initiative with the ability to work both independently and as part of a cross-functional team

  • Impeccable professional and ethical standards and discretion

Here are some of the preferred skills we are looking for:

  • Bachelor’s degree may be preferred in supporting the required level of skill, knowledge and experience required.

  • Knowledge of AHA’s mission and programs.

  • Knowledge of the AHA's strategic priorities and initiatives

  • Proficiency in donor management database systems
